Role Summary
The Lisbon Project is a non-profit organisation that exists to empower and integrate migrants and refugees in the city of Lisbon and welcomes 300-400 people every week. It is the Welcome and House Manager's responsability to garantee a safe, clean and welcoming environment, which includes managing supplies, maintenance and coordination of shared areas and hospitality systems.
The goal is to support all of our team members in using the space with care and respect, to reflect our values. This role is also crucial in setting the culture of the Lisbon Project from the moment someone walks into the door!
Essential Duties and Responsibilities
Space & Facilities Management
Ensure the Lisbon Project house is safe, organized, and aligned with hospitality and accessibility standards.
Manage supplies, furniture, equipment, and space-related purchases in coordination with the Finance team.
Handle logistics for repairs, maintenance, and improvements.
Maintain a shared calendar for room use, events, and internal space bookings.
Ensure communal spaces are functional and clean, in collaboration with cleaning staff and volunteers.
Welcome Desk & Hospitality Oversight
Supervise and support Welcome volunteers, ensuring a warm and informed reception for all visitors.
Maintain clear protocols for opening/closing the house, responding to emergencies, and handling visitor needs.
Monitor security and safety procedures (e.g., fire exits, emergency contact systems).
Troubleshoot basic tech issues (e.g., printer, projector, Wi-Fi), and coordinate external support when needed.
Supplies & Inventory
Track inventory of office, kitchen, and cleaning supplies, restocking as needed.
Monthly online purchase of restocking.
Team Coordination.
Collaborate with other teams and staff to ensure the space is ready for events, classes, and team gatherings.
Communicate clearly with all internal stakeholders regarding space-related
policies and updates.
Support the onboarding of new team members by introducing house protocols and access.
Requirements
Fluent in Portuguese and proficient in English.
Strong organizational and problem-solving skills.
Great care for cleanliness and takes initiative in keeping the space tidy, organized,
and inviting for others.
Practical and proactive mindset, with attention to detail.
Experience managing or maintaining shared spaces or facilities (professional or
volunteer).
Ability to troubleshoot basic logistical and tech issues.
Comfortable supervising volunteers and offering clear, warm guidance.
Familiarity with Google Workspace, Trello, or similar tools is a plus.
