The Lisbon Project is a non-profit organization that exists to protect and integrate the lives of migrants and refugees in the city of Lisbon. We are currently seeking an intern to assist the Education Program Manager as the program grows. Your primary responsibilities will be to take care of a variety of administrative organization and management tasks, as well as lead our impactful Homework Club. The goal will be to support all tasks necessary to help deliver and manage a successful and expanding Education Program according to the organization’s standards, and to ensure continuity of one of our most personalised activities in the program. 



Essential Duties and Responsibilities:


Education Program Assistant: 

  • Assist the Education Program Manager with developing the program’s existing services and plan improvements and additions for the future. The most important task in this role is to aid the Education Program Manager in growing and improving the program.  

  • Facilitate effective communication with both program volunteers and activity coordinators to provide valuable support and foster collaboration. 

  • Aid in the planning and organizing of regular team-building events and training workshops.  

  • Responsible for assisting in planning and coordinating events if activities in the program are missing volunteers in certain roles.  

  • Maintaining and updating the Education Program’s records and database with necessary information and creating new resources when required.  

  • Assist beneficiaries in Education related requests and questions. 

  • Responsible for answering emails and WhatsApp messages from beneficiaries and informing people within the community and beyond of the educational opportunities offered at the Lisbon Project. Also responsible for tracking the progress of beneficiaries within each of the activities to improve participation and satisfaction.  

  • Assist the Education Program Manager in recruiting new volunteers for the activities and aid in presenting them to their roles and to the Lisbon Project.  

  • Organize and oversee registration processes and graduation events for the activities.  

  • Organize and collect feedback on the activities offered to aid in improving the program. 


Homework Club Coordinator: 


  • Recruit new tutors in close collaboration with People & Culture. 

  • Ensure that all safeguarding rules and procedures are being followed. 

  • Onboard tutors on how we provide helpful tutoring sessions for the adults and children that request this service. 

  • Prioritize CMs applying our selection criteria and pair them with the right tutors following the suggested steps.  

  • Oversee the planning of the tutoring sessions (space, scheduling, etc.) 

  • Make sure that both adults/children and tutors are attending tutoring sessions following up on completion of the monitor sheet on the part of tutors. 

  • Set up a quarterly review with the parents and the tutors.  

  • Set up a quarterly meeting with the tutors and team building activities.   

  • Get feedback on a quarterly basis from the community members as well as from the tutors on the quality and impact of the activity.  

  • Support tutors with anything they may need or request. 

 

MPGs:

  • Following the minimum performance guidelines (MPGs). To be consulted internally with the position's supervisor.


Requirements:


  • Fluency in English and preferably high proficiency in Portuguese. Other language skills are also valued.  

  • A detail-oriented, efficient, responsible, reliable, and committed person.  

  • Ability to effectively organize and prioritize work demands.  

  • Interest or experience in education, as well as interest and willingness to learn and develop new skills.  

  • Excellent verbal and written communication skills.  

  • Excellent interpersonal skills, including effective listening.    

  • Cultural awareness and ability to interact with people from different cultures, genders, religions, and backgrounds. 

  • Willingness to be added to the necessary WhatsApp Groups.
