summary:
The Lisbon Project’s mission is to build a community that integrates and empowers refugees and migrants. The assistant to the Social Care Manager‘s role in this is to support community members to get:
Integrated through increased understanding of their specific paperwork;
Empowered through more generalised workshops that increase knowledge of Portugal and their rights within it;
Help distinguish the services which community members must access outside of LP;
Have access to emotional support.
As the Assistant to the Social Care Manager, you will provide administrative and project support in order to ensure the smooth running of all the programs within the Lisbon Project. You will work alongside the Social Care Manager and team, providing support in the planning, researching, organizing and executing of department-related services. You will lead internal communication, new and long-standing team members, ensuring that our members remain aware of how to engage with the Lisbon Project’s Social Care department and programs.
Essential Duties and Responsibilities:
Oversee Registrations
Oversee Community Member registration and referral process with partners;
Support Department in quarterly and annual reporting;
Internal Community Communications;
Be aware of all activities and opportunities across the LP broadcast channel and on different community platforms such as WhatsApp, LP notice board and LP internal website;
Attend and contribute to regular meetings in order to increase overall awareness of LP activities and processes;
Keep the team informed about our department’s activities, daily work, and key information or updates.
Daily Operational Assistance
Assist manager on program follow-up matters: tracking responses, triggering follow-up actions, etc;
Handle day to day administrative tasks for smooth running of programs;
Personal assistance to support the Social Care Manager, for example, scheduling, researching and organising various things;
Lead on special projects involving research, analysis and presentation of that research;
Organise team meetings and special events, such as staff training;
Keep documentation organised and recording keeping, including taking minutes;
Assist the Social Care Manager in the production of briefing papers, reports and presentations;
Learn about the needs of refugees and migrants by participating in LP events and where possible, assisting in areas across the programs;
Participate in training and development activities.
Requirements:
Fluency in Portuguese (if possible) and English is required; knowledge of other community languages is highly desirable;
Qualifications, studies or experience relating to social work or law;
Familiarity with Portuguese administrative systems highly desirable;
Qualifications, studies or experience relating to social work or law highly desirable;
Experience in intercultural communication and/or with communicating with people in vulnerable situations highly desirable;
Required ability to work independently but in active communication with team members and supervisors;
Highly desired experience of managing expectations and communicating boundaries clearly;
Required commitment to serving migrant communities with care and compassion, providing them with crucial support to further their integration in Portuguese society.
